CustomsCopilot uses artificial intelligence. We think you should know exactly where, exactly what it decides, and exactly who remains responsible for what gets filed. This page says so plainly.
1 Where we use AI
We use AI in one place: reading documents and pulling structured data out of them.
When a commercial invoice or shipment document arrives — uploaded or forwarded by email — our system sends its contents to a large language model, which returns field values such as party names, quantities, weights, declared values, and classification codes as they appear in the document. Our software then assembles those values into a draft filing formatted for the relevant agency.
We use a third-party large language model provider located in the United States, under a commercial agreement that prohibits the use of our customers' content for model training. We identify the provider to customers under contract.
2 What the AI does not do
The AI does not file anything. It produces a draft. Nothing is transmitted to U.S. Customs and Border Protection, the Automated Export System, or any other agency until a licensed customs broker or authorized filer has reviewed it and pressed the button to send it. The platform does not transmit on its own initiative, on a schedule, or in response to anything the AI produces.
Specifically, the AI does not:
- Decide the correct tariff classification for merchandise
- Decide the correct customs value or valuation method
- Determine country of origin or eligibility for a trade preference
- Determine whether a commodity is subject to export licensing or ITAR control
- Approve, sign, or transmit any filing
- Substitute for the judgment of a licensed customs broker
Where the platform surfaces a suggested classification, it is a starting point drawn from the document and from the customer's own catalog data. The licensed broker decides.
3 Who is responsible
The licensed customs broker, or the authorized filer in the case of export declarations, is the party responsible for the accuracy and completeness of what is filed. That responsibility is not delegable to software, and we do not ask our customers to treat it as if it were.
CustomsCopilot is a product of YEM Corporation, a software provider. We are not a licensed customs broker. We do not conduct customs business on any party's behalf, we do not hold a filer code, and we do not act as an authorized agent for any importer or exporter.
4 Human review is built into the product
Review is not a policy we ask customers to follow. It is enforced by the software:
- Draft filings enter a review queue and stay there until a person acts on them.
- Filings that fail structural checks — a missing or invalid classification code, an unresolved customer, a missing party key — are blocked from transmission entirely and cannot be released by editing around the check.
- Other findings are raised as warnings that a reviewer sees and must pass over deliberately.
- Every field the AI produced is visible and editable next to the source document, so the reviewer can compare what the model read against what the document says.
- We record who reviewed a filing and when, before it was sent.
5 AI makes mistakes
Language models misread documents. They transpose digits, misattribute values across columns, and can produce output that looks correct and is not. We have found and fixed defects of exactly this kind in our own system, and we expect to find more.
We do not claim the platform is fully automated, error-free, or a replacement for broker review. We make no warranty that extracted data is accurate or complete. Everything the platform produces is a draft for a qualified person to verify.
If you find an extraction error, report it to info@yemco.net. Correcting these is ordinary maintenance, and reports from customers are how most corrections start.
6 What happens to your documents
- Document contents are sent to our AI provider for the sole purpose of extraction.
- Customer content is not used to train any AI model, ours or our provider's.
- Each organization's data is isolated from every other organization's.
- Documents and filings are retained per the schedule in our Privacy Policy, which is built around the five-year customs and export recordkeeping requirements.
7 Processing records
For each document the platform processes, we keep a record of what was processed, when, which model version was used, what the model returned, and who reviewed and approved the resulting filing before transmission.
These records exist so that a customer can reconstruct how any given filing was produced — for their own recordkeeping obligations, for a CBP inquiry or audit, or to investigate a discrepancy. Customers can request records relating to their own filings.
8 Changes
If we change how AI is used in the product in a way that affects this description, we will update this page and notify platform customers.
